Receptionist                

Position Overview

The receptionist's primary responsibility is to offer an efficient and professional response to all incoming calls and walk-in visitors.   Directs incoming visitors to appropriate personnel and does so in a manner, which portrays the professional atmosphere of the Division.    This position requires moderate supervision.

Essential Functions

  1. Answering front desk switchboard telephones and transferring them appropriately
  2. Greets all visitors to the facility and triages them accordingly based upon their request
  3. Handles data entry input for a variety of projects
  4. Responsible for miscellaneous clerical tasks
  5. Receive and distribute electronically faxes and correspondence received for general delivery
  6. Promote good company image by the professional appearance in dress and actions
  7. Additional duties as assigned by the manager.
  8. Assist other departments as requested and as time permits as directed by the manager.

Local Essential Functions 

The receptionist will be responsible for handling a variety of administrative duties for the CS/Accounting/Admin group that can be done while answering telephones such as:   

  1. Provide support and administrative assistance to Partners/Managers/Accounting
  2. Supports Customer Service daily by auditing customer orders.
  3. Assist accounting with scanning documents into Qwiktag and purging paperwork.
  4. Assist Data Entry with orders to be released to the appropriate dept. (shipping/manuf.)
  5. Cancellations and scan supporting documents into GP

Education

  • A high school diploma required
  • Minimum of 3 years of receptionist / administrative experience required

Experience

  • Previous HR and benefits experience preferred
  • Previous receptionist, data entry experience preferred
  • Working knowledge of excel and word.
  • Experience with Oracle, PeopleSoft, or SAP is desirable
  • Previous HR and Payroll experience preferred (Network Solutions, Seattle, WA only)

Skills

  • Must be computer literate with a basic knowledge of Microsoft Office Suite: Word, Excel, and Outlook,
  • Ability to work with multiple operating systems
  • Ability to write reports, and business correspondence, requires an excellent command of the English language
  • Must have the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
  • Ability to work in a highly confidential work environment
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Ability to efficiently and quickly run a multi-line switchboard
  • Ability to multi-task
  • Ability to problem-solve, prioritize, and handle a multitude of projects simultaneously
  • Excellent administrative and organization skills
  • Excellent verbal and written communication skills
  • Excellent customer service skills with internal employees and external contacts
  • Ability to redirect common inquiries or complaints from customers, regulatory agencies, or members of the business community to appropriate department
